How to Improve Readability
Improving readability makes your content accessible to more people and keeps readers engaged. These practical techniques help you write clearer, more effective content without sacrificing substance.
Use Shorter Sentences
Long sentences force readers to hold multiple ideas in memory. Aim for an average of 15-20 words per sentence. Break complex ideas into multiple sentences.
Before
"The company, which was founded in 2010 and has since grown to employ over 500 people across multiple countries, announced yesterday that it would be launching a new product line that aims to address the growing demand for sustainable alternatives."
After
"The company was founded in 2010. It now employs over 500 people across multiple countries. Yesterday, it announced a new product line targeting sustainable alternatives."
Choose Simpler Words
Replace complex words with simpler alternatives when possible. Your readers shouldn't need a dictionary to understand your content.
Write in Active Voice
Active voice is more direct and easier to follow. The subject performs the action rather than receiving it.
Passive
"The report was written by the team."
Active
"The team wrote the report."
Break Up Long Paragraphs
Large blocks of text are intimidating and hard to scan. Keep paragraphs short—2-4 sentences for web content. Use headings, bullet points, and white space to create visual breaks.
- •Use headings to organize sections
- •Add bullet points for lists of items
- •Leave white space between paragraphs
- •Use bold text to highlight key points
Additional Tips
- •Read your content aloud—awkward phrases become obvious
- •Cut unnecessary words like "very," "really," and "actually"
- •Avoid jargon unless writing for a technical audience
- •Start with your main point, then add supporting details
